Multi-Company Sites: Ownership, Operator and Project Role
See parent, subsidiary and subcontractor machines on one project
You model a company tree of parent, subsidiary and subcontractor, then assign host, partner and subcontractor roles on each project. Owner company and operating company stay separate on the machine card; operating changes are stored as dated assignments. Transfer and dispatch update the operating company, and locked timesheet days cannot be changed retroactively. Each approved timesheet day posts to whichever company operated the machine on that date. Project cost reports break down by project and company and export to Excel. Company scope lets users see subsidiaries; write permission still follows project scope. Inter-company internal rental billing remains in accounting and ERP.

Company tree
Define parent, subsidiary and subcontractor companies in a hierarchy. User scope can include subsidiaries in what they see.
Organisation and PermissionsProject roles
Assign host, partner and subcontractor roles on the project so machines show under the project and company they work for.
Fleet InventoryOwner and operator
The machine card keeps owner company and operating company in separate fields; operating history is stored by date range.
Machine RecordTransfer and dispatch
When a machine moves between sites or completes a dispatch leg, the operating company updates and assignment history is kept.
Machine Allocation and DispatchCompany on the timesheet
An approved timesheet day books to the operating company on that date. A locked day cannot be edited retroactively.
Machine TimesheetCost breakdown
The project cost report groups by project and company, with Excel export when you need to share numbers.
Rental Billing and Project CostHow it works
- 1
Define companies
Build the company tree and project roles, then assign user scopes.
- 2
Machine assignment
Record owner and operating company; update operating company through transfer and dispatch.
- 3
Report
After timesheet approval, read cost and billing reports with a company breakdown.
Company and project
Company records carry parent-child links and tax data. You choose role on the project-company row; the host company stays aligned with the project record.
Operating assignment history
Only one open operating assignment exists per machine; a new assignment closes the previous one. Backdated assignment is blocked when timesheet days are locked.
Timesheet and cost
On draft and automatic timesheet days the company field fills from the operating assignment. If a machine changed company mid-month, the project cost report splits days by date.
Billing uses the same approved timesheet as rental billing and project cost.
Who it is for
Construction and infrastructure teams who need main contractor, affiliate and subcontractor machines in one fleet on the same project.
FAQ
Can a subsidiary user edit the parent project machine
No. Write permission follows project scope. Without scope on that project, the user can view only.
Is internal rental invoice here
No. Inter-company internal rental amounts are handled in accounting and ERP. Reper Axis gives you operations and cost visibility.
